Who we are
Evanni is operated by Evanni, LLC, a Florida limited liability company (“we,” “us,” “Evanni”). You can reach us at matt@evanni.com.
What this policy covers
This policy describes how we collect, use, and protect information when you visit evanni.com or use the Evanni application at app.evanni.com. It does not cover information our business customers (“agencies”) collect from the individuals they serve — that information belongs to the agency, and they are the data controller.
Information we collect
- Account information. Name, email, role, and organization when you sign up or are invited by your agency.
- Content you enter. Client records, assessments, visit notes, signatures, and documents you create in the app. This information is stored on behalf of your agency.
- Usage and device information. IP address, browser, pages visited, and interactions — used to keep the service secure and to improve it.
- Billing information. For paying agencies, Stripe collects and stores payment details. We receive only a customer reference and invoice status — never full card numbers or bank account numbers.
How we use it
- To provide the service and the features your agency has enabled.
- To secure the service — detect abuse, fraud, and unauthorized access.
- To communicate with you about your account, security, and service changes.
- To bill your agency for subscription fees, via Stripe.
We do not sell personal information, and we do not use client health information for advertising.
Subprocessors
We use the following third-party services to operate Evanni:
- Microsoft Azure — application hosting and database (United States).
- Stripe — payment processing.
- SendGrid — transactional email delivery.
- Twilio — SMS notifications (where enabled).
Each subprocessor is bound by its own agreements covering security and confidentiality.
Security
Data is encrypted in transit (TLS) and at rest. Agency data is isolated at the database level using row-level security, so one agency cannot read another’s records. Access to production systems is limited to authorized personnel and logged.
HIPAA
Agencies that use Evanni to store Protected Health Information should contact us to execute a Business Associate Agreement (BAA) before entering PHI. Email matt@evanni.com.
Your choices
You can update or delete your account information at any time through the app, or by emailing us. If you are an individual served by an agency that uses Evanni, please contact your agency to exercise rights over your records — they are the data controller.
Changes to this policy
We will update the “Last updated” date at the top of this page when this policy changes. Material changes will be communicated to account holders by email.
